How to update Gmail signatures (G Suite)


Your company has a corporate Google account (G Suite).
You can centrally manage Gmail email signatures from Xink.


Follow the steps below and learn how to get the signatures from Xink to Gmail.
You need to grant Xink service account access to your users’ mail settings.
Once configured, users will see the email signature when they click New Email.

Note: 'No signature' setting in Gmail will not be overwritten and will have to be changed by the user.

Which email signature is applied in Gmail?

The email signature selected as default is applied.

How often does it update Gmail email signatures?

Xink updates the Gmail signatures every 20 minutes. You need to wait at least 20 minutes before you can see the signatures.

Which users' signatures are updated in Gmail?

Users with default email signature set will get their Gmail updated.
New users must be added/imported to Xink - Learn how to add employees.

Xink only update signatures for users who belong to the same domain as your super Admin email.
So if your super Admin email is superadmin@company.com, it will only update email signature for users with email addresses ending with @company.com.

G Suite Tasks

With the credentials used to administer your Google accounts, sign in to the Google Admin console from https://admin.google.com.

  1. Click Security icon.

  2. Click “show more” link at the bottom of Security page. This reveals Advanced settings option.

  3. Click Advanced settings

  4. In the Authentication section of popup window click the “Manage API client access” link. Here we will configure Google to recognize our connection.

  5. Copy and paste the following text to the "Client Name" edit box:

  7. You will now see see this:

  8. Click the "Authorize" button. You will now see this entry added to the list.


Now open your Xink admin account (app.xink.io) and go to 'Preferences' in the top right corner, switch to the 'Integration' tab and choose 'G Suite' in the left menu.

  1. Paste a Super Admin email address into Admin Email address field (password is not needed). 

  2. Put a check mark on "Enable G Suite"

  3. Click “Check G Suite Connectivity” to make sure the result is OK.

    NOTE: Make sure that you have logged on to Google Apps at least once with your super admin account created for this purpose. It might not work if you have not logged on and accepted the Google Apps conditions first.


How do I know if it works?

To see it work, just log on with your business Gmail and click 'compose' to compose a new email. You will see the email signature immediately or , if you just created the signature assignment, you may need to wait 20 minutes for the next update to occur.  


How to fix if the email signature is not updated

If your signature does not show after 20 minutes when composing an email, then it is most likely related to a browser cache issue. 
Please try in another browser to see if your signature appears here. It updates on a 20 minute Schedule so you might need to wait for the next update.

Make sure that you have selected a signature as your default signature in Xink. If no signature is set as the default, no signature will appear.

Only users users who belong to the same domain as your super Admin email will get their email signature updated.
So if your super Admin email is superadmin@company.com it will only update email addresses ending with @company.com.
